Set requirements by contract type
Not every vendor needs the same coverage. A caterer, a bus company, and a roofing contractor present very different risks. Define requirement groups per contract type — event, catering, construction, transportation, maintenance — so every contract of the same type is held to the same standard.
Write those requirements into the contract itself. A certificate can only be checked against what the contract actually demands.
Collect before work starts, not after
The most common failure in COI programs is timing: the certificate arrives after the event, the delivery, or the first day of work. Make a current, reviewed certificate a condition of starting.
Give vendors a direct way to submit — an upload link beats an email attachment that gets lost in a shared inbox.
Track expirations, not just arrivals
A certificate that was compliant in January may expire in June while the contract runs through December. Every certificate needs an expiration date on a calendar, with reminders going to the vendor well before lapse — 45, 30, and 10 days out is a workable rhythm.
When a replacement certificate arrives, it should replace the old record rather than sit beside it, so your compliance view always reflects the current document.
Keep a human in the loop
Software can read certificates, flag missing endorsements, and chase expirations — but the decision that a certificate satisfies your contract should be made by a person, with a record of who reviewed it, what they changed, and when they signed off.
That audit trail is what turns a stack of PDFs into a defensible compliance program.
